Family and child data

Youth sport journeys need private, careful account areas.

MySportsHive can support parents, guardians, under-16 player profiles, child context, private invoices, and player progress without making child records public.

Current status

This page is a trust overview for families and club authorities. It is not safeguarding, legal, or medical advice. Clubs remain responsible for their own safeguarding, welfare, medical, membership, and club policy processes.

What parents and guardians may do

Where the club journey requires it, parents and guardians may create a child profile, link an existing child/player account, respond to approval steps, switch into child context, review club activity, and manage relevant profile or contact information.

The exact route depends on the club setup, the invitation used, the account relationship, and the features the club has prepared.

Under-16 and guardian-supported account routes

Youth player journeys can include parent or guardian involvement, account activation, and linked child profile access.

MySportsHive helps route families through the account steps, but it does not decide parental responsibility or replace the club safeguarding process.

What is never public profile content

  • Child profiles, parent-child links, guardian approval state, private player records, medical/profile details, invoices, payments, and parent or player messages.
  • Private progress reports, attendance, availability, safeguarding case details, account access information, identity checks, and internal club notes.
  • Staff permissions, dashboard reports, finance records, exports, and operational setup information.

Medical and profile information

Medical and profile information belongs in private signed-in areas. Clubs are responsible for deciding what they collect, why they collect it, who can see it, and how long it is needed.

Users should avoid sending unnecessary medical or child details through public support forms. The support form is for account, link, access, privacy, accessibility, and technical issues.

Child invoices and payment questions

Parents and guardians may see child invoice or payment information when their club and account context allow it. Invoices and payment history stay behind sign in.

The club decides fees, due dates, refunds, and manual bank transfer confirmation. MySportsHive support helps with platform access, invoice download, and payment page technical issues.

Private progress and performance

Player progress and performance notes stay in private account areas for authorised staff, players, and families when the club uses those tools.

AI-assisted suggestions, where used, should support staff review rather than replace coach judgement. Public copy should not describe AI as ranking or judging children.

Safeguarding, welfare, and emergency boundary

MySportsHive is not an emergency safeguarding, medical, or law enforcement service.

For immediate danger, urgent welfare concerns, medical incidents, match-day safety, or club safeguarding issues, use the club safeguarding route or the appropriate emergency service. Contact MySportsHive for platform access, account, link, privacy, accessibility, or technical issues.

What to include in a support request

  • Include the club name, your role, the account email used, the page or link you opened, and a short description of the issue.
  • Do not send passwords, full payment card details, or unnecessary sensitive child or medical information.
  • Contact the club first for fee amounts, refund decisions, manual bank transfer confirmation, safeguarding, medical, match-day, or club policy questions.
