- Member records, child profiles, invoices, payments, messages, staff permissions, medical/profile information, and private progress records stay behind signed-in areas.
- Public support and contact forms should not be used for passwords, full payment card details, or unnecessary sensitive child or medical information.
Scope
This policy covers the MySportsHive public portfolio site, sign-up and sign-in pages, public club profile pages, profile journeys, club dashboard journeys, support/contact forms, and related platform services.
MySportsHive is the public product and brand operated by MY SPORTS HIVE LTD. It is designed for sports clubs, academies, parents or guardians, players, club officials, club authorities, sponsors, and visitors. Some data is controlled by the club, while MySportsHive provides the platform and related support services. Final customer contracts and data processing terms should confirm each party's responsibility.
Information we collect
- Account information such as name, email address, password credentials, verification status, role, and account journey state.
- Profile information for parents, guardians, players, club authorities, club officials, and other invited users.
- Parent-child or guardian-player relationship information where the product supports family and player access.
- Club workspace information such as club setup, staff access, members, programmes, activities, communication, billing readiness, public publishing settings, and operational records.
- Published public club profile information such as club identity, cover/profile images, activities, media, sponsors, news, locations, contact details, and social links where a club chooses to publish them.
- Support, contact, pricing interest, and demo lead information such as name, email, phone, club name, role at club, package interest, message, preferred contact method, source path, and campaign parameters.
- Technical information such as browser, device, approximate IP-derived location, request logs, error context, and storage/cookie preferences.
- Payment and invoice-related metadata where payment or billing features are configured for a club. Payment providers, not MySportsHive public portfolio pages, handle sensitive payment details.
How we use information
- Provide account sign-up, sign-in, verification, password reset, and club-branded account journeys.
- Route users to the correct profile, workspace, club dashboard, or direct email-link destination.
- Operate public club profile pages using approved public data while keeping protected club dashboard data private.
- Support club setup, role-aware access, member journeys, parent/player workflows, communication, billing readiness, and published public content.
- Respond to support, pricing, package, demo, and contact requests.
- Maintain security, prevent abuse, troubleshoot errors, and improve reliability and product quality.
- Send transactional emails and service messages related to account access, club invitations, setup, billing workflows, support, or security.
Public and private club data
Public club profile pages must remain open without sign in and use approved public club data only. They should show content-aware sections rather than exposing private club records.
Private member records, financial records, role and permission data, protected dashboard content, private messages, internal setup state, and account security data should remain behind authenticated app boundaries.
Children, parents, and guardians
The product supports youth sport scenarios where parents or guardians may create, link, review, or approve player profiles. Clubs remain responsible for their own safeguarding rules, club policies, and lawful collection of information from members and families.
Parents, guardians, and clubs should avoid sending sensitive child information through public support forms unless it is necessary for the request. The contact form should be used for account-routing or access issues, not emergency safeguarding matters.
Retention and deletion
We keep information for as long as needed to provide the product, support clubs and users, meet legal obligations, resolve disputes, maintain records, and protect the platform.
Some club workspace records may be controlled by the club and may need to be requested through the club first. Account deletion, profile deletion, export, and correction rules should be confirmed in the final customer data processing terms.
Your choices and rights
- You may ask to access, correct, export, or delete information where applicable.
- You can sign out to clear the active auth token from local browser storage.
- You can clear browser storage or cookies, though this may affect signin, theme preferences, and journey continuity.
- For workspace records controlled by a club, you may need to contact the club authority or administrator first.
- You can object to non-essential marketing where such messaging is used.
