Who can publish public club content
Public club profile content should be created, changed, hidden, or published only by club authorities, authorised staff, or users with the relevant club dashboard permissions.
The club is responsible for deciding who can manage public profile content. MySportsHive provides role and permission tools, but the club must assign those responsibilities carefully.
What public means
Published public club profile content can be visible to anyone without sign in. It is intended for visitors, families, players, sponsors, prospects, and community members.
Content that is not intended for public visitors must stay inside the private dashboard, profile app, staff workflows, or signed-in account areas.
Content a club may publish
- Club name, public identity, approved introduction, cover/profile imagery, and public brand presentation.
- Published activities, programmes, teams, venues, parking, arrival guidance, and public accessibility notes.
- Chosen contact details, website links, social links, sponsor or partner recognition, public media, and public news or updates.
- Public calls to action such as contact routes, enquiry routes, joining interest, or external links where the club has checked they are appropriate.
Content that must stay private
- Private member records, child profiles, parent-child links, guardian approval state, medical information, emergency contacts, attendance, availability, and private player records.
- Invoices, payment records, receipts, bank or payment details not intended for public publication, staff role assignments, permission lists, private messages, reports, exports, and internal dashboard notes.
- Safeguarding case details, complaints, disciplinary records, account access details, tokens, passwords, and identity verification details.
Media, image, and video consent
The club must only publish photos, videos, thumbnails, logos, or other media where it has the right and permission to do so.
Youth sport media needs extra care. Before publishing player or child media, the club should consider consent, age, identification risk, location or routine details, safeguarding rules, and whether consent has changed.
- Avoid adding unnecessary full names, ages, school details, addresses, private schedules, medical details, or performance context to child/player media.
- Keep private progress and performance information behind sign in.
- Raise credible privacy or safeguarding concerns quickly so public content can be reviewed or hidden if needed.
Sponsors, partners, and logos
The club is responsible for ensuring it has permission to use sponsor or partner names, logos, website links, descriptions, tiers, and promotional wording.
Sponsor and partner information should be accurate, current, and appropriate for the club audience, especially where youth sport is involved.
News, venues, contact, and public updates
The club is responsible for the accuracy and suitability of public news, venue, contact, map, parking, arrival, and accessibility information it publishes.
Venue and accessibility notes are club-provided information. Visitors should check with the club if they need current access, parking, travel, or arrival details before travelling.
Prohibited use
- Do not upload unlawful, abusive, threatening, discriminatory, harassing, exploitative, misleading, or unsafe content.
- Do not publish private child, player, member, medical, safeguarding, finance, account, role, permission, message, or internal dashboard data on public profile pages.
- Do not impersonate others, misuse sponsor or partner names, infringe copyright or trademarks, upload malware, publish harmful links, spam users, scrape protected data, or try to bypass authentication or permission controls.
- Do not send passwords, full payment card details, or unnecessary sensitive child or medical information through public support forms.
Content complaints and takedown requests
If you believe public club profile content creates a privacy, safety, copyright, trademark, accuracy, or other serious concern, contact MySportsHive support with the club profile URL, the content involved, and the reason for the concern.
MySportsHive may ask the club to review content, request evidence of permission or ownership, temporarily hide or remove content, restrict publishing, preserve records where needed, or reject unclear or abusive complaints.
MySportsHive removal rights
MySportsHive is not expected to pre-approve every public club update, image, sponsor, venue note, or profile field. The club remains responsible for what it publishes.
MySportsHive may remove, hide, restrict, or refuse content where needed to protect users, clubs, the public, legal rights, privacy, child welfare, security, or platform integrity.
